Job Title: Database Support Specialist

Department: Development

Reports To: Database Manager

FLSA Status: Nonexempt – 12-month position

Salary Grade: 8B ($20.37-$23.95-$27.50)/hr.

Approved Date:  10/22/2025

 

SUMMARY 

Responsible for resolving database requisitions, and maintenance of the organization’s donor data and database. This position works with donor and campaign data, reports, and database end users. It is not part of IT network or systems administration but may involve limited scripting or automation related to data processing.

  1. Assists Database Manager as necessary.

  2. Conduct data quality control and technical support tasks as assigned.

  3. Queries database and generates various reports.  Responsible for learning and mastering all aspects of the current database that is used to store and manipulate donor information in the direct response fundraising programs. 

  4. “Uses data analysis and reporting tools to create accurate exports and summaries for campaigns.”

  5. Generates data files and distributes to vendors. Ensures file accuracy, formatting consistency, and correct encoding before transmission.

  6.  Serves as a liaison between the organization and external database partners, coordinating support requests, communicating enhancement needs, and ensuring timely resolution of data or reporting issues.

  7. Confers with Database Manager to determine the impact of database or programming changes on development systems, staff and processes.

  8. Proof and correct Data files and Donor information.

  9. Manages secure data file transfers (FTPS/SFTP) between internal systems, external database providers, and vendors to ensure timely and accurate data exchange.

  10. Oversees the creation and maintenance of user accounts, roles, and permissions in the donor database, ensuring compliance with organizational security and data integrity standards.

  11. Assists with directing programmers and analysts to make changes to the donor database system. 

  12. Communicates all database changes and updates to the proper departments and /or individuals.

  13. Assists with user training and provides support for database-related questions

  14. Provides front-line technical support for staff using the donor database, responding to help requests or tickets in a timely manner.

  15. Provides basic troubleshooting and technical assistance by phone, email, or in person to database users experiencing issues with data entry, reports, or exports.

  16. Collects information to create user documentation and/or reference materials

  17. Builds an excellent working relationship with 3rd party vendors and internal staff.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE 

One to two years of experience in data management, database operations, or technical support required; 

Associate’s degree in Information Systems, Data Management, Business Information Technology, or a related field preferred. 

An equivalent combination of education and experience may be considered. Basic knowledge of scripting or programming is helpful but not required.

  1. Database knowledge required.

  2. Must be proficient in using personal computers and Microsoft Office software, with a strong emphasis on Excel.

  3. Ability to manipulate and save files in various formats.

  4. Strong communication skills, both verbal and written.

  5. Must be a self-starter and able to work well under pressure and with minimal supervision.

  6. Must be dependable with good work attendance.

  7. Must possess strong interpersonal skills.

  8. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures.  

  9. Ability to write reports, business correspondence, and procedure manuals.  

  10. Ability to effectively present information and respond to questions from development personnel. 

  11. Attention to detail is essential.   

  12. Ability to think broadly and consider impacts across systems and within the organization. 

  13. Strong logical and analytical thinker.

  14. Strong organizational skills.

CERTIFICATES, LICENSES, REGISTRATIONS 

Certifications such as CompTIA A+, CompTIA IT Fundamentals (ITF+), Google Data Analytics, Microsoft Office Specialist (MOS), or Microsoft Excel Certification are preferred but not required.
