Job Title: Data Processing Clerk

Department: Development

Reports To: Fulfillment Manager

FLSA Status: Non-Exempt - 12 month position

Salary Grade: 5B ($14.51-$17.04-$19.58)/hr

Approved Date: 07/01/2022

 

SUMMARY 

 

Operates computer and word processing equipment and high-speed printers to compile, type, revise, combine, edit, print, and store personalized acknowledging and appeal letters by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.  * Indicates the non-essential duties and responsibilities. Nothing in this job description restricts St. Labre's right to assign or reassign duties and responsibilities to this job at any time.

 

  1. Formats and enters appeal and acknowledgment letters using WordPerfect or MS Word computer software.

  2. Edit donor information in the current database software.

  3. Retrieves print files from the FTP site and downloads to the proper folder on the server. Checks print files for accuracy.

  4. Checks documents for proper formatting.  Proofreads and edits documents for grammar, spelling, punctuation using automated tools and personal skills.

  5. Assigns numbers for acknowledgment letters as needed.

  6. Checks batches for data entry errors or problems prior to data extraction.

  7. Extracts and merges data for daily letter and label printing.

  8. Runs weekly reports and delivers reports to supervisor.

  9. Calculates supplies needed to complete daily jobs.

  10. Maintains completed documents in digital and paper files, purging when necessary

  11. Performs routine maintenance on laser printers and other department equipment necessary for printing documents.  Performs general maintenance on all printing machines calling local support technicians when needed for repairs.

  12. Maintains a daily log of work performed.

  15. Prepares check sheets for printing machines.

  16. Imports/exports data files through Mail Manager software for postal sorting and coding

This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE

 

High school diploma or general education degree (GED); and one to two years related experience and/or training required; or equivalent combination of education and experience.

 

KNOWLEDGE, SKILLS AND ABILITIES 

 

1.  Ability to perform basic mathematical operations.

2.  Strong working knowledge/experience with computers, printers and digital files.

3.  Ability to read and write simple instructions, short correspondence, and memos.

4.  Willingness to work overtime, if needed, holidays and weekends.

5.  Ability to effectively present information in one-on-one situations and with other employees.

CERTIFICATES, LICENSES, REGISTRATIONS 

 

Valid Montana driver's license required.
